Allotrac Product Update 2.2.0 - Improvements

Allotrac's Product Update 2.2.0, features enhanced ChatOps, improved job creation, dynamic workflows, and better planning and allocation for streamlined operations.

Version 2.2.0 builds on the operational capabilities introduced in Version 2.1.0.

This release delivers improvements across planning, allocation, connected-site operations, return jobs, custom fields, location entry, accounting integrations and platform reliability.

What's New?

Job & Project Creation

  • Refreshed Job and Project Forms: The Add Job and Add Project forms have been updated with improved layout, spacing and organisation.
Related information is easier to scale, with improved presentation across desktop, tablet and mobile devices.

  • Default Origin Contact & Address: Administrators can configure default origin settings under Site Settings → Operational Preferences → Job and project creation. New jobs or projects automatically populate these defaults to eliminate repetitive data entry, while still allowing users to make adjustments before saving.

  • Billable Contact as Destination: A new site preference automatically populates the Destination Contact with the Billable Contact—streamlining dispatch by cutting down redundant selections when the billed customer is also the recipient.

  • Driver-Created Jobs: Authorised drivers can now create ad-hoc jobs directly from the Driver App.
The workflow uses the active driver and vehicle context, allowing unscheduled work to be captured when it arises.
Created jobs participate in the standard operational workflow, including planning, allocation and invoicing where applicable. This helps record unscheduled work without requiring the office to enter every job first.

  • Form Input & Value Polish: Address and contact search results now display above surrounding for elements, so matching records remain visible and selectable.
Item sell-price entry also supports decimal values.

Planning & Allocation

  • Clearer Confirmation Status: The Planning screen introduces explicit visual indicators—a green tick for confirmed jobs and a red cross for unconfirmed jobs—complete with tooltips and quick filtering by All, Confirmed, or Unconfirmed to give dispatchers immediate clarity on job readiness.

  • Unconfirmed Jobs Remain Visible: Both confirmed and unconfirmed jobs remain visible in the main Jobs list. Confirmation determines readiness for allocation without preventing users from finding and reviewing the job, ensuring confirmation status is easier to identify and filter.

  • Run-Based Planning Controls: Jobs belonging to a Run are allocated through the Run assignment workflow.
Individual Allocate and Unconfirm actions are restricted for those jobs on the Planning screen.
Jobs outside a Run retain their applicable existing actions.

  • Connected-Site Run Allocation: Runs can be directly allocated to applicable network and carrier tiles, enabling receiving sites to seamlessly allocate the run to their own fleet vehicles.

  • Enhanced Driver Assignment: Improved handling for assignment periods, assigned dates, date-range updates, unassignments for selected dates, current date and future-date actions ensuring clear and predictable schedule management.

  • Reliable Job Ordering: Improved ordering when regrouping jobs in Pause mode, Moving grouped work between vehicles, Resuming live Allocation, Reordering grouped jobs within a Run and  Adding or removing jobs from an assigned Run.

Dispatchers can reorder and regroup work with greater confidence that the intended sequence will be retained.

  • Courier Depot Leg Sequencing: Reassigning a depot leg no longer retroactively alters or renumbers completed pickup sequence steps, maintaining clean operational history.

Driver App & Return Workflows

  • Revert Job to Idle: Drivers can return an eligible in-progress job back to Idle status directly from the Driver App if plans change. The job stays assigned and retains all existing proof documents, allowing drivers to step away from an interrupted workflow while dispatchers/allocators immediately see the updated status and can unassign or cancel the job as required.

  • App Recovery Fixes: The Driver App handles reopening and session recovery more reliably.

  • Correct Pickup & Delivery Progression: Completing the pickup leg of a joint pickup-and-delivery job no longer incorrectly marks the whole order complete, keeping operational records accurate until final delivery.

  • Courier Proof & Leg Context: Enhanced clarity on Proof of Pickup (POP) and Proof of Delivery (POD) screens ensures leg sequencing is clear for multi-leg and depot operations.

  • Offline Preload Shift Completion: Drivers can end a shift offline after preload work.
Applicable changes synchronise when connectivity returns.

Forms & Custom Fields

  • Custom Field Groups Under 'Manage': Custom Field Groups have been relocated directly under the main Manage menu to reflect their broader use across multiple record types, rather than only one job configuration.

  • Compatible Visibility: The Custom Field Template builder proactively blocks conflicting settings (e.g., setting a field as Required at a stage where driver visibility is disabled), preventing operational friction caused by requesting hidden data.

  • Driver App Display Corrections: Job Information displays custom-field values separately from required-stage information.
Required-stage labels no longer appear in place of the actual field value.

  • Mobile Job Creation Fields: Custom field groups assigned to mobile job creation workflows display correctly and enforce configured rules for complete data capture on the go.

  • Error-Free Historical Editing: Completed jobs containing custom fiels can be edited and saved without the reported custom-field validation error.
This includes applicable updates to item pricing and custom-field values. 5. Finance & Accounting Integrations

Finance & Accounting Integrations

  • High-Volume Invoice Processing: Optimised item and contact reference lookups dramatically speed up batch invoice generation—handling consolidated invoices with up to 200 jobs seamlessly across Xero and MYOB without repeated data calls.

  • Item Import Translation Fixes: Restored missing UI text in Xero and MYOB item import workflows. When imported items lack a name, users receive clear prompts to either Use Item Code as Item Name or Skip Affected Items, removing ambiguity during accounting syncs.

Connected-Site Operations (Carrier & Job Sharing)

  • Carrier & Vehicle Visibility: Jobs assigned to external carrier vehicles display relevant carrier and vehicle details across shared views, providing full clarity on operational ownership across sites.

  • Carrier Contact Handling: Carrier selection supports applicable contacts and Cost of Service price lists.
Configered connection contacts participate in shared-job pricing and assignment.

  • Shared-Job Pricing: Pricing improvements address cost of service selection, carrier contact changes, pricing transferred to receiving sites, base-price presentation on receiving sites, secondary-unit pricing, multiple-item jobs.

  • Grouped Job Sharing: Addressed duplicate record creation when assigning grouped work to connected-site vehicles, reducing manual billing reconciliation between partner businesses.

Administration, Locations & Geofence Notifications

  • Scheduled User Site Access: Administrators can restrict or schedule user access to specific sites without affecting access to other sites, allowing fine-grained security management.

  • Manual Latitude & Longitude Entry: Updates when Adding an Address now supports direct coordinate entry alongside standard address searches, allowing users to accurately pinpoint map locations and save descriptive names for remote, off-grid job sites where a conventional street-address search is unreliable.

  • Geofence Notifications: Notification improvements address missing entry and exit events, missing email and in-app notification, overlapping location and notification geofences, duplicate emails to configured recipients and duplicate emails to manually entered addresses.

  • Google SSO Invitations: Invited users can accept system invitations and create accounts seamlessly using Continue with Google.

  • Language Preferences: Expanded multi-language support.
